Organizing
An overview of keeping a growing collection in order — shelves, copies, details, labels and views — with a guide for each job.
Rooms and shelves
Library Setup — in your account menu, or My Library → Library tools → Shelves → Locations & shelf setup — is where you build your locations: homes, storage areas, bookcases, shelves and boxes, nested inside one another. A library can span more than one home, every place reports how full it is, and Shelf overview draws the whole library as bookcases with the books standing on them.
Copies and moving books
Each copy of a book has its own price, condition, shelf and photos, and can be lent on its own. After an import or a reshuffle, Select on My Library moves many books together, and filtering to one location adds shelf actions for printing its labels and moving its books.
Checking a shelf
A shelf check answers “is everything that is supposed to be here actually here?” copy by copy, against the list of copies your library recorded at that location when the check began.
Catalogue details
Insights on My Library says how complete your records are, with a link to fix each gap. A record can also carry its format and, for a translation, its original title, and the Series & gaps view lists the books you own in each series and names the ones missing.
Library activity and undo
Library activity (My Library → Library tools → Reports → Library activity) records who moved which copy where, who changed a copy’s condition and who removed a copy, with what it was before and what it became. A change can be undone for 30 days, and removed copies can be restored.
Reading history
Mark a book read from its page — a personal toggle, not part of the shared catalogue — or record reading sessions with dates in its Reading history panel. Your reading history is private to you.
Tags and merging
Tags are your own labels — “first editions”, “signed copies”, a “to-sell” pile — each with a name and a colour. When imports or quick typing leave several spellings of one location or tag, Merge… folds them into one.
Author names are not mergeable here. An author is part of the shared book record that every library holding that book sees, so a spelling is corrected through the book page’s edit flow, where it is reviewed, rather than from Library Setup.
Custom fields
When the built-in details don’t capture what your library catalogues by, an Admin can define your own fields — text, long text, yes/no, number, date or a pick list — that members fill in per copy and that My Library can filter by.
Collector details and photos
“Edit this copy” records what is true of your copy — condition, edition, provenance, estimated value and more — and stays within your library, while “Edit catalogue information” changes the shared edition record. Each copy can also hold up to six photos of its own, and your own book photos can set the cover you see.
Book and shelf labels
A shelf label’s QR code opens your library showing what is recorded on that shelf; a book label goes in one copy and opens that copy’s record. Books can also carry Dewey and Library of Congress numbers, and each copy a call number, so My Library can sort in shelf order.
Library views and printing
My Library can be sorted by author (surname first), title, publication year and more — or by up to three of them in turn — and narrowed to one author. It can be a cover grid, a compact grid or a list with columns. A saved view keeps a set of filters, search and sort under a name and stays live, and any view can be printed exactly as you see it.
